AEP Privacy Policy

1. Overview

This Privacy Policy explains how the AEP platform (“AEP,” “we,” “us”), operated by RJ Webworks LLC, collects, uses, and protects information when licensed insurance agents (“Agents,” “you”) use the Platform. This Platform is intended for AEP insurance agents only and is not directed to the general public.

2. Information we collect

  • Account information — your name, email, phone number, password (stored hashed by our authentication provider), and your chosen plan / weekly investment.
  • Payment information — the payment method you select and a payment reference code. Manual payments (e.g., Zelle, Venmo, Cash App) and any card payments are handled by third-party providers; we do not store full card numbers.
  • Call & production data — inbound call records, durations, dispositions, carriers, premiums, and related performance metrics generated as you use the phone system and dashboard.
  • Usage & device data — log data, IP address, and basic technical information needed to operate and secure the Platform.

3. How we use information

  • to create and manage your account and route inbound calls;
  • to display dashboards, leaderboards, and performance metrics;
  • to process and reconcile payments and approvals;
  • to operate, maintain, secure, and improve the Platform and prevent fraud and abuse;
  • to communicate with you about your account and service.

4. Call monitoring & recording

The Platform supports inbound call handling and may capture call metadata and, where enabled, call recordings for quality, compliance, training, and dispute-resolution purposes. You are responsible for complying with all applicable call-recording, consent, TCPA, and Medicare/CMS requirements in your jurisdiction.

5. How we share information

We do not sell your personal information. We share information only with service providers that help us run the Platform, under appropriate confidentiality obligations, including:

  • our database and authentication provider (Supabase);
  • our telephony provider (RingCentral);
  • our email provider (Resend);
  • payment providers you use to pay (e.g., Stripe, Zelle, Venmo, Cash App).

We may also disclose information where required by law, to enforce our Terms of Service, or to protect the rights, safety, and property of AEP, RJ Webworks LLC, our Agents, or others.

6. Data retention

We retain information for as long as your account is active and as needed to provide the Platform, comply with legal and regulatory obligations (including insurance and Medicare/CMS record-keeping), resolve disputes, and enforce our agreements.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential.

8. Your choices

You may request access to or correction of your account information, or request deletion of your account, by contacting us through the channels below. Some information may be retained as required by law or for legitimate business and compliance purposes.
